Q&A Payroll and Timesheets

Q: How are the pay rates set?

A: The complexity of the job, the deadline, your background, our analysis of the market, and our normal rates are all considered in setting your fee. Each editing, writing, proofreading, or desktop publishing job may have a different rate. Receiving a particular rate for one job does not mean that you will receive the same rate for the next job. We pay for hours actually worked on a job—never for mealtimes, lengthy breaks in excess of 20 minutes, or travel time and expenses to pick up or deliver work. When you are working at home, if you cannot pick up or deliver work, you can sometimes pay a messenger service to do so for you. Normally, however, you should plan to pick up work in person to get job instructions from the project manager.

Q: What kind of bill do I submit?

A: In order to be paid, you must submit an electronic timesheet using the ThinMind online payroll management site. We need timely information to be sure our billing is accurate, to submit to clients, and to comply with certain government contract requirements. Any padding of hours will remove you from the EEI Communications roster. Check with your EEI Communications manager before billing for any expenses.

Q: What if I don't have a timesheet with me when I'm on an assignment?

A: The ThinMind web site is available from any computer with internet access. If you do not have internet access, please contact your EEI Communications staffing account manager to make alternate arrangements for submitting your timesheet.

Q: What is the process to revise an incorrect timesheet that has already been submitted?

A: Any time a timesheet requires a change, you must call your staffing account manager to notify them to expect a change. If the client supervisor has already signed the timesheet, you must have them make the change on the timesheet and initial the change.

Q: How and when will I be paid?

A: Employees are paid biweekly, every other Wednesday. A pay schedule is included in this packet.

Q: What about taxes, withholding, and Social Security?

A: Employees' pay is subject to income tax withholding and Social Security deductions (and contributions from EEI Communications). Employees who live in Virginia are subject to state income tax withholding. Employees living in Maryland or Washington, DC, may elect to have EEI Communications withhold state income tax. The appropriate forms are included in your new hire packet.

Q: Does EEI Communications pay for travel time or parking?

A: No.
